1. Executive Summary & Commitment

Cognicx IT Solution ("Cognicx", "We", "Our", or "Us") is committed to protecting the privacy, security, and confidentiality of personal data entrusted to us by our enterprise clients, prospective clients, end-users, and website visitors. As a provider of cloud-native Contact Center as a Service (CCaaS) and Enterprise AI Automation platforms (KonnectEzy, CollectEzy, Smart-X), our architecture complies strictly with international data governance standards including ISO 27001, SOC 2 Type II, EU General Data Protection Regulation (GDPR), UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), and Reserve Bank of India (RBI) data localization directives.

2. Scope of Data Collection

We process information under two distinct categories:

• Client Service Data (Processor Role): Customer contact records, voice recordings, transcripts, chat histories, payment reminders, and omnichannel communications processed strictly on behalf of our enterprise platform subscribers.
• Website & Account Data (Controller Role): Contact details submitted via demo requests, forms, registration credentials, business contact emails, phone numbers, and telemetry metadata.

3. Data Security & Storage Controls

All data in transit is protected using TLS 1.3 encryption. Data at rest is encrypted using AES-256 with hardware security module (HSM) managed keys. Cognicx supports multi-region deployment models including local in-country cloud instances in the United Arab Emirates (Dubai/Abu Dhabi) and India (Mumbai) to satisfy sovereign regulatory requirements.

4. AI Governance & Data Usage

Cognicx Smart-X AI models operate in isolated enterprise tenants. Customer conversation data and proprietary knowledge bases are NEVER used to train public or foundational third-party AI models. All model inference occurs within dedicated, secure virtual private clouds (VPCs).

5. Individual Rights & Data Requests

Individuals located in the UAE, EU, India, or other applicable jurisdictions retain rights to request access, correction, erasure, restriction, or portability of their personal data. Requests can be submitted directly to our Data Protection Officer at privacy@cognicx.com.
